Privacy Policy

1. The short version
- Your journal is private to you — database security rules ensure each notary can only access their own records.
- When you scan a driver license barcode, the scan is processed on your device and we never store the license number, date of birth, or physical descriptors — only the person's name, address, and the credential type go into your journal.
- We don't sell your data, ever. We use it to run the Service, and that's it.
2. What we collect
Account data: your email, password (stored as a secure hash), and the commission details you enter (name, commission number, county, expiration date).
Journal data you enter: the fields New York requires for each notarial act — date, time, act type, the principal's name and address, identification method and credential type, witnesses, verification procedure — plus optional fields you choose to add (document type, client reference, fee, notes, GPS coordinates, appointments).
Optional evidence you upload: photos of signed documents, ID images (only if you enable that paid feature), and remote-notarization session recordings. These are stored in a private, encrypted storage bucket accessible only to your account.
Payment data: handled by Stripe, our payment processor. We never see or store your card number; we store only your subscription status and a Stripe customer reference.
Technical data: standard server logs (IP address, browser type, timestamps) used for security and troubleshooting.
3. ID scanning — our strictest rule
The ID-scan feature reads the barcode on a driver license or state ID on your deviceto auto-fill the signer's name, address, and credential type. The raw barcode data is discarded immediately after parsing. We never persist the license number, date of birth, or physical descriptors — they are not written to our database, not logged, and not transmitted for storage. If you are a subscriber and explicitly attach an IDimage to an entry, that image is stored encrypted in your private bucket, subject to the same retention rules as other evidence, and can be deleted by you at any time.
4. How we use information
To operate the Service: authenticate you, store and sync your journal, generate exports and yearly logbooks, send service emails (account confirmation, password reset, retention warnings, yearly logbook delivery, commission-expiration reminders), process subscriptions, and keep the Service secure. We do not sell personal information or share it for third-party advertising.
5. Who we share it with (service providers only)
We use a small set of processors to run the Service: Supabase (database, authentication, and encrypted file storage), Vercel (website hosting), Stripe (payments), and an email delivery provider (service emails). Each receives only what it needs to perform its function. We may also disclose information if required by law — for example, notarial records are producible to the NY Secretary of State under 19 NYCRR §182.9, which is your obligation as the notary.
6. Retention and deletion
Journal entries follow the retention schedule described in the Terms of Service: about 12 months of free cloud storage, then your yearly logbook is emailed to you, then a 90-day grace period, after which unsubscribed entries are permanently deleted from our systems (subscriptions extend storage up to 10 years per entry). Uploaded evidence follows the same schedule. If you delete your account, we delete your data from production systems within 30 days, except minimal records we must keep (e.g., billing history, deletion logs). Remember: your own 10-year legal retention duty survives any deletion from our systems — keep your exports.
7. Security
All traffic is encrypted in transit (TLS). Data is encrypted at rest. Row-level security rules isolate each notary's records. Access to evidence files requires short-lived signed links generated only for the owning account. No system is perfectly secure — keep your password strong and unique, and export important records regularly.
8. Your choices and rights
You can view, correct, export, and delete your data in the app (search, CSV export, print, per-entry deletion with a deletion log). You can request account deletion by emailing us. Depending on where you live, you may have additional statutory rights (access, correction, deletion, portability); we honor reasonable requests at lawdoclock@gmail.com.
9. Children
The Service is for commissioned notaries and is not directed to anyone under 18.
10. Changes
We will post any changes here and, for material changes, notify you in-app or by email before they take effect.
